If your Multi-Factor Authentication (MFA) has been reset, you’ll need to set it up again using the Microsoft Authenticator app. Follow the steps below to complete the process.
Make sure the Microsoft Authenticator app is installed on your phone:
On iPhone, download it from the App Store
On Android, download it from the Google Play Store
You’ll use the app shortly to scan a QR code during setup.
If your work account is already showing in the Microsoft Authenticator app, remove it before continuing:
Open the Microsoft Authenticator app.
Find your work account in the list.
Tap the three dots (or hold your finger on the account).
Select Remove account or Delete, and confirm.
This prevents any conflicts with the new MFA setup.
On your computer or mobile browser, go to https://www.office.com.
Sign in using your work email address and password.
If you're already signed in, it's best to sign out and back in to trigger the MFA setup process.
After signing in:
Click Next to begin.
When prompted, choose Mobile app as your method.
Then select one of the following options:
Receive notifications for verification (recommended)
Use verification code (if you prefer to enter a code manually)
Click Set up. A QR code will appear on your screen.
On your phone:
Open the Microsoft Authenticator app.
Tap the "+" icon or Add account.
Select Work or school account.
Use your phone’s camera to scan the QR code displayed on your computer.
Your account will now be added to the app.
On your computer, click Next.
You will either:
Receive a notification on your phone — tap Approve
Be asked to enter the 6-digit code shown in the Authenticator app
Once successful, click Next again and then Done.
Your MFA is now fully reconfigured. From now on, you’ll use the Microsoft Authenticator app to approve logins to your Microsoft 365 account.
